Facilities Officer
JOB PURPOSE
As a key enabler for business, the role is responsible for the maintaining of Bank’s Premises, support in identifying sites for new premises, supporting refurbishment projects, consultants, and contractors, ensuring that all service and maintenance contracts are reviewed and renewed on time for preventive, planned corrective and unplanned corrective maintenance, handle leases and landlord relationships.
Jobholder is also responsible for supporting the bank’s transport requirements and quality of service provision and effective management of all bank premises and built environments.
KEY RESPONSIBILITIES: MUST NOT BE MORE THAN 10.
- . Implement the facilities and premises management strategy as well as plans for monitoring high quality standards and appearance of banks facilities and premises.
- . Coordinate business requirements to ensure all specifications/requirements are identified and provided for in the projects scope of works and designs, and budgets.
- . Manage contractors and consultants in delivering quality refurbishment and Maintenance projects and ensure prequalification of all Facilities service providers.
- . Coordinate periodic and regular repairs, cleaning and general maintenance for all bank vehicles, equipment, and premises.
- . Manage the supply of power/Electricity to all bank facilities/Premises to ensure uninterrupted availability of mains and backup power.
- . Prepare project and works BOQs to guide work implementation and execution
- . Ensure effective use of the bank’s fleet and proper coordination to ensure all bank’s fleet needs are supported in time
- . Optimize office and branch layouts for efficiency, track and maintain inventory of furniture, fixtures, and equipment, coordinate office relocations or refurbishments as needed
- . Monitor and maintain all building systems including HVAC, electrical and plumbing.
- . Monitor and supervisor courier operations.
. DAILY RESPONSIBILITIES
- . Review schedule for preventive maintenance and planned corrective repairs and seek timely approvals for their implementation

- . Ensure uninterrupted power/electricity to all facilities/premises.
- . Daily/ routine support to premises and facilities issues
- . Daily and monthly tracking of premises, facilities and fleet costs
- . Support courier office operations.
. SKILLS and COMPETENCIES REQUIRED.
- . Technical knowledge on BOQs, drawings and building standards
- . Strong knowledge of building systems, safety regulations, and vendor management
- . Good communication and negotiation skills

- . Proficiency in MS Office and facility management software/tools
- . Ability to multitask and respond to emergencies quickly and effectively
CHALLENGES
. Approval authority for all facilities’ issues is decided in other departments affecting TAT.
. Emergency works requiring weekend availability and support.
